A nursing researcher finishes interview 11 on a Thursday evening. The recording runs 63 minutes. In it, a charge nurse describes a patient death and names the unit where it happened. On the desk is the consent form the participant signed in March, which says the recordings will be heard only by the research team and kept on an encrypted, password-protected computer. Nine days from now the first coding pass is due, and the fastest route to a transcript is a browser tab and an upload button.
That upload takes four seconds and is easy to stop thinking about. It also changes the shape of what was promised. Participants agreed to speak with a researcher they met, whose name is on the form and whose protocol an IRB reviewed. Nobody in that room agreed to a vendor, a processing region, or a retention schedule written by a company they have never heard of.
What the Consent Form Actually Said
Consent language tends to be specific, because IRBs make it specific. Wording like "stored on a password-protected computer accessible only to the research team" or "audio files will be destroyed after transcription" makes a commitment about location and custody, not a general statement of good intent. A third-party transcription service does not automatically violate that. Plenty of services are careful, sign business associate agreements, and encrypt files in transit and at rest.
The problem is narrower and harder to argue with. Your sentence describes your machine, and the file is now somewhere else. If a data use agreement restricts the data to the approved site, or a district memo names one custodian by title, an upload adds a party the paperwork does not cover. At that point you are either filing an amendment or hoping nobody reads closely. Neither of those is a good week.
The Mac Was Already the Approved Location
Here is what quietly changed. Speech recognition used to need a data center, so sending the audio away was the price of getting a transcript back in under an hour. Apple Silicon ended that tradeoff for most interview recordings. A current Mac runs a speech model on its own Neural Engine fast enough that a 63-minute file is a coffee break, not an overnight job.
Everything else about the machine already fit the protocol. FileVault covers the disk. The laptop is the device named in the IRB application, sitting in the office that application described. Once transcription happens there too, audio and transcript live in exactly one place, and that place is the one you promised.
Where Quala Fits

What You Get to Write in the Protocol
The practical result is a single sentence. "All audio is transcribed and analyzed locally on an encrypted, password-protected Mac; no recordings or transcripts are transmitted to third-party services." An IRB reads that and stops asking. Research offices at districts and hospitals sign it. Participants who want to know what happens to the recording get an answer with no vendor in it.
Some caveats belong in print. On-device processing is not protection against everything: a stolen laptop is still a breach, and a backup needs the same encryption the working copy has. Automatic transcription still gets things wrong, especially overlapping speech and terms of art inside a field, so the correction pass stays part of the work. Local analysis narrows the promise to something you can personally keep. Keeping it is still on you.
Interview 12 is scheduled for Tuesday. The charge nurse who sits down for it will decide how much to say based on what they believe happens to the recording. Getting that answer right is not a technical detail. It is the study.
